FOX Continuing Education LTE Program Associate Wanted - This position is a part-time LTE (Limited Term Employee) position. 20 hours per week.
This position supports and develops existing and new programs within the Continuing Education Department at the University of Wisconsin (Menasha). Essential to the success of this position is the desire to work as part of a team, solve problems, derive alternative solutions, make suggestions and possess a positive “can-do” attitude toward learning and implementing new processes.
Responsibilities
- Perform a combination of complex program duties in support of professional and enrichment programming at the campus and in the community
- Operate in an independent fashion in relief of administrative functions performed by the Program Manager
- Market predefined programs
- Assist in the identification and development of needed community based programming efforts
- Assist with identification of instructors needed in community based programs conducted through the Continuing Education Department
- Experience with social media
- Work with community members to assist them in identifying and enrolling in programming of interest
- Perform work similar to paraprofessional work but not inclusive of all duties that would be assigned to a professional employee
- Perform other duties as assigned
Requirements
- High School diploma
- Highly organized with the ability to handle multiple projects simultaneously
- Comfortable with a changing work environment
- Excellent oral and written communication skills
- Proficient in Word and Excel and comfortable with the other programs in the Microsoft Office Suite
- Ability to work without close supervision
- Self motivated
- Administrative or paraprofessional experience
Preferred Degree and Experience
- At least five years of experience
- Bachelor’s degree, background in marketing and/or communications
- Prior work experience in an academic environment

FOX Continuing Education LTE University Services Associate II Wanted - This position is a part-time LTE (Limited Term Employee) position. 15 hours per week.
General Description
Under general supervision, this position provides support to the Director of Continuing Education at the University of Wisconsin-Fox Valley (Menasha). Specific responsibilities include Office of Continuing Education participant intake and processes; general clerical and receptionist duties; bookkeeping functions; typing, word processing, and spreadsheet development and manipulation; and various other program support activities necessary to ensure the effective and efficient operation of the department. This position requires the ability to make decisions and manage multiple tasks simultaneously. Essential to the success of this position is the desire to work as part of a team, solve problems, derive alternative solutions, make suggestions and possess a positive “can-do” attitude toward learning and implementing new processes.
Responsibilities
Program Registration
- Serves as Continuing Education receptionist; answers and screens phone calls and directs visitors to the campus
- Receives, enters and maintains all program registrations
- Submits program registration data to UW Extension
- Prepares, processes and maintains files, including but not limited to, financial records, requisitions and invoices, instructional forms, and other reports and forms as directed
- Maintains records related to all on-line courses
- Updates registration website as directed
- Prepares Memos of Agreements and payroll information in accordance with departmental procedures
- Informs instructors of need to gather participant evaluations and ensures compliance
- Assists with logistical arrangements for courses including securing audio-visual equipment, scheduling rooms and solving scheduling conflicts as they arise
- Ensures that instructor prepared and/or commercially purchased materials are compiled and delivered to the campus room or educational setting prior to class
- Informs instructors, participants, media services and other related personnel regarding any room and/or schedule changes
Financial Monitoring and Control
- Receives, reconciles and submits all receipts for the Continuing Education Office
- Issues receipts, credits and refunds in accordance with office policies
- Initiates timely payments for all expenses including instructor payments (payroll, PIR, and requisitions) and vendor invoices. Verifies and documents credit card charges
- Verifies and, if necessary, initiates activities to reconcile revenue and expense records with account control ledgers
- Maintains current financial records for the Office of Continuing Education
- Prepares reports regarding individual class enrollments, semester and fiscal year enrollments and revenue/expenditures by semester, fiscal year and by special programs
Facilitates Promotional Activities
- Given a template and text, assists in the design, development and editing of basic flyers
- Prepares final electronic documents in accordance with printer’s requirements
- Coordinates mailings (general and bulk), maintains and updates mails lists and prepares material for mailing. Keeps abreast of relevant changes in post office rules
- Maintains effective contact with customers via phone, mail, emails
- Uses effective problem solving skills when assisting the public regarding registration procedures, course fees, course content, times and locations for continuing education classes
- Types correspondence and creates spreadsheets, using Microsoft Word and Excel or other approved software, requiring knowledge of departmental operations and regulations
- Supports the Continuing Education Program Director by setting up appointments, distributing communications, and memos
- Serves as general information resource to instructors
Program Evaluation
- Recommends policies, procedures, and modifications to improve program effectiveness and efficiency
- Ensures timely data submission to UW Colleges and UW-Extension
- Assists in compiling past program data for analysis
Required Skills and Attributes
- High School diploma with at least three years of experience
